Booking Equipment
Our equipment is for indoor use only, unless discussed with ourselves before hire, they may be located within a marquee and will require one mains power socket and must be on a completely flat & level surface.
To secure your booking date and quoted price we will require a deposit of £50 to be paid by the due date shown on your Invoice This deposit is non-refundable.
The remaining balance is then due one calendar month prior to your event.
If you need flexibility with your deposit payment amount, please contact us.
For bookings made within 30 days of your event, full payment is required to secure your booking unless agreed in advance.
Please ensure when making payments that you use your payment reference shown on your invoice so that we can correctly and easily allocate payments to your account.
Your booking is not confirmed until deposit payment has been received and you receive a Receipt or booking confirmation letter from us confirming this via email.
Any charges incurred by us to attend your event for example parking fee's, congestion charges & tolls will be added to your invoice. Please do make us aware at the time of booking if we will need to park off site and also if there are any access issues such as stairs.
We have the right in exceptional circumstances for example (but not limited to) health and safety of our staff and guests and equipment failure to amend your booking to use other equipment we advertise. We will always notify you of any changes beforehand with as much notice as possible.
Damage to Equipment / Terminating the Hire
It is the person bookings responsibility to cover the company for any damage or theft of the company’s equipment whilst on hire.
We reserve the right to end the event immediately should any aggressive/abusive behaviour take place, or any damage to equipment occurs maliciously.
In any instances where we feel there is a need to terminate the hire we will always speak with the host first to try to resolve the matter before terminating. If we do have to terminate the hire due to reasons stated above, the full cost of hire is still payable and we will not issue any refunds for hire time that has been cut short.
To run the equipment
Access to a plug socket close to the set up point with sufficient space at your venue to set up approx. 2.5m x 1.5m minimum Please ensure there is clear access to load and unload at the venue.
During Use
We agree to have a your chosen equipment operational for a minimum of 90% during this period; operations may need to be interrupted for maintenance for example replacing Paper / Ink or tidying props in-between photos.
If We are not Ready to Commence at the Agreed Hire Time
In the rare event that we are not ready to commence at the agreed time due to our fault, then we will still give you the agreed hire period by extending the finishing time of the hire.
Running time can be anytime up to 11pm that evening
After this time an additional £25 out of hours charge per hour will occur.
If We Are Delayed or Cannot Attend
We cannot be held responsible for any circumstances that may prevent us from attending your event, these may include but are not limited to:
severe weather conditions,
traffic delays,
breakdown of our vehicles,
sickness
or equipment failure.
In the case that we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible. In these instances our liability will be limited to refunding all of monies paid.
Date Change or Cancellation Procedures
Any request for a date or venue change should be confirmed by us in writing, we are not liable for any date changes you make without confirming our availability first. Cancellations must be made by you in writing and if paid by card a refund will only be issued to the card which was charged. If you cancel with less than 1 calendar month remaining until your event date you will be required to pay the full amount owed on your invoice.
If a cancellation is requested and work on your background designs / theme has begun then we will charge the relevant fees for the amount of time accrued on your booking. Please check our current hourly charges.
How we use you Photos
Your photographs from your event may be used for suitable means, this includes but is not limited to advertising and promotional material either in print or on the internet. Attending your event would mean we are of the understanding that permission has been granted to do so by yourselves and your guests (please inform us if you do not wish for this to happen)
From time to time a we may need to amend or change the the terms and conditions without prior notice.
